Privacy Policy for English By Louise

Last updated: 2nd February 2026

This Privacy Policy explains how English By Louise ("we", "us", "our") collects, uses and protects your personal information when you visit our website, join our email list, complete our English level quiz/scorecard, join a waitlist, purchase a course, or contact us.

We aim to keep this clear and simple. If anything is unclear, contact us using the details below.

1) Who we are (data controller)

English By Louise is operated by Louise Costello.

Email: hello@englishbylouise.com
Website: englishbylouise.com
Business address: United Kingdom

We are the “data controller” for the personal information we collect, meaning we decide how and why your data is used.

2) What personal information we collect

We may collect the following types of personal information:

Information you provide directly

  • Contact details: name, email address, phone number (if you provide it)

  • Messages: what you send via contact forms, email, WhatsApp or social messages

  • Quiz/scorecard details: your answers, your estimated level and any goals you select

  • Waitlist and preferences: which courses you are interested in, your level, your goals

  • Purchases (when selling is live): billing details, purchase history, payment confirmation (we do not store full card details)

Information collected automatically

  • Technical data: IP address, device type, browser type, pages visited and basic usage data

  • Cookies and similar technologies: to run the site, measure performance and improve marketing (where enabled)

The Wix platform and other tools we use may also collect technical information needed to operate the website.

3) How we use your information

We use personal information to:

  • Provide your quiz results and send your study plan or next steps

  • Add you to our email list if you opt in

  • Send course updates and waitlist notifications

  • Provide and deliver paid courses, downloads and membership features (when available)

  • Respond to messages and support requests

  • Improve the website and understand what content helps people most

  • Keep records for accounting and legal obligations

4) Our lawful basis for using your information

Under the UK GDPR, we must have a lawful basis to process your personal data. The bases we rely on include:

  • Consent: when you opt in to receive marketing emails or when you accept non-essential cookies

  • Contract: when you purchase a course or membership, we need your details to deliver what you bought

  • Legitimate interests: to run and improve our website, understand demand, and develop courses people actually want (we balance this carefully against your rights)

  • Legal obligation: for tax, accounting, fraud prevention and compliance where required

You can withdraw consent at any time (see Section 9).

5) Marketing emails and email list

If you join our email list, we may send:

  • study tips and resources

  • updates on new courses

  • waitlist openings

  • offers and announcements

You can unsubscribe at any time using the link in any email. The Information Commissioner's Office expects privacy notices to explain how people can withdraw consent.

6) Cookies and embedded content

Cookies

We use cookies and similar technologies to:

  • ensure the site works properly (essential cookies)

  • understand how visitors use the site (analytics, if enabled)

  • improve marketing (only if enabled and you consent)

Under UK cookie rules (PECR), you must be told about cookies and in most cases your consent is required for non-essential cookies.

Because we use Wix, you can display a cookie banner and manage consent settings through Wix tools.

YouTube embeds

We may embed videos from YouTube. Embedded videos can involve cookies or similar technologies. Where possible, we aim to use YouTube’s “privacy-enhanced mode” (youtube-nocookie) for embedded players.

7) Who we share your information with

We only share your data when needed to operate the service. This may include:

  • Website hosting and forms: Wix

  • Email marketing provider:  Klaviyo

  • Quiz/scorecard provider: ScoreApp

  • Analytics tools: Google Analytics

  • Payment processor: Stripe, PayPal

  • Professional advisers: accountants, legal advisers where necessary

These providers act as “processors” and are expected to protect your data.

8) International transfers

Some of the providers we use may store or process personal data outside the UK. Where this happens, we take steps to ensure appropriate safeguards are in place (for example, contractual protections or other UK GDPR-approved safeguards).

9) Your rights

You have rights under UK data protection law, including:

  • Access: request a copy of your personal data

  • Rectification: correct inaccurate data

  • Erasure: request deletion (where applicable)

  • Restriction: limit how we use your data in certain circumstances

  • Objection: object to processing based on legitimate interests

  • Portability: request a transfer of your data (where applicable)

  • Withdraw consent: for email marketing or non-essential cookies at any time

To exercise any of these rights, email hello@englishbylouise.com.

Complaints

If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office.

10) How long we keep your data (retention)

We keep personal information only as long as needed:

  • Email subscribers: until you unsubscribe, or we may remove inactive subscribers after [12–24 months] of no engagement

  • Quiz/scorecard leads: typically [12–24 months] unless you subscribe or request deletion

  • Customer records: as required for accounting and tax purposes, usually 6 years in the UK

  • Support messages: as long as needed to resolve issues and maintain reasonable records

11) Security

We take reasonable steps to protect your data using appropriate technical and organisational measures. No method of transmission over the internet is 100% secure, but we aim to use reputable platforms and good security practices.

12) Children

English By Louise is designed for adult learners. We do not knowingly collect personal data from children. If you believe a child has provided personal data, contact us and we will take steps to delete it.

13) Changes to this policy

We may update this Privacy Policy from time to time. The latest version will always be posted on our website, with the “Last updated” date shown at the top.
